How to Use the Campaign Scheduler

The Campaign Scheduler enables configuration of initial delivery date and time plus recurring schedules for fixed and continuous training and phishing campaigns, offering options like all-at-once delivery for fixed training, and detailed recurring scheduling with time-zone specificity and preview features, where the final scheduler field indicates when the system begins searching for the next sending window rather than the actual send date.

Use the Campaign Scheduler

The campaign scheduler allows you to configure the first date and time users will receive training or phishing, as well as the recurring schedule for the campaign.

Only fixed and continuous campaigns use the campaign scheduling tool.

How the Training Campaign Scheduler Works

All at Once Scheduling

All at Once scheduling lets you select a date and time for the entire campaign to be delivered. This option is only available in fixed training campaigns.

Recurring Scheduling

Recurring schedules allow you to set a specific date and time for the first training, followed by a recurring schedule you determine. For example:

  • The first course in a training campaign can be delivered on 4/11/2025 at 1 PM (time-zone specific).
  • Scheduled courses after this date can recur once a month on the 1st Monday at 8 AM, starting on 4/30/2025.
  • The scheduler provides a preview of your schedule in both a list view and a calendar preview.

When you set the last field of the scheduler, it is not the date when the recurring campaign will deliver its next course. Instead, it is when the campaign will begin to look for the sending parameter set for the campaign. For example, if the sending parameter is "once a month on the 1st Monday at 8 AM, starting on 4/30/2025," then starting on 4/30/2025, the scheduler will find the next date that matches the 1st Monday of the month, which is 5/5/2025.

How the Phishing Campaign Scheduler Works

Recurring Scheduling

Recurring schedules for phishing campaigns allow you to set a specific date and time window for the first phishing simulation, followed by a recurring schedule for subsequent phishing windows. For example:

  • The first Phishing Sending Window can start on 4/12/2025 at 1 PM (time-zone-specific), with the "Phishing Sending Window" set to 3 days.
  • This means users can receive a simulated phishing email starting on 4/12/2025 at 1 PM, but no later than 4/15/2024 at 4 PM.
  • After this initial window, scheduled phishing windows can recur once a month on the 1st Monday at 8 AM, starting on 4/30/2025.
  • The scheduler provides a preview of your schedule in both a list view and a calendar preview.

When you set the last field of the scheduler, it is not the date when the recurring campaign will deliver its next phishing email. Instead, it is when the campaign will begin to look for the sending parameter set for the campaign. For example, if the sending parameter is "once a month on the 1st Monday at 8 AM, starting on 10/31/2024," then starting on 10/31/2024, the scheduler will find the next date that matches the 1st Monday of the month, which is 11/4/2024. On 11/4/2024 at 8 AM, the next 3-day "Phishing Window" will begin, and users will receive the next simulated phishing email sometime between 11/4/2024 at 8 AM and 11/7/2024 at 8 AM.
